Defaulted to ClientSpace API Version 3.0 in Swagger

ClientSpace API Version 3.0 is now the default version that displays when you open Swagger as version 3.0 contains the newest features and enhancements. You can still access the earlier versions from the drop-down list in the header.

Added WC Rates Import Template Report

A new WC Rates Import Template (admin_wc_rates Import Template) has been added to the Business Intelligence module in the Administration folder to help manage Workers Compensation Rates. The report lists the rates for a selected policy. This helps you determine the rates which are already present before importing new rates. To run the report, select a policy title (PolicyTitle) and click Update Results.

Updated Client Profitability Merge Template

Previously, the Average EE Count calculation on the Client Profitability Payroll tab was inaccurate when there was more than one pay group schedule (i.e., weekly, bi-weekly, monthly, etc.). The total number of employees in the Type R batches was being divided by the total number of Type R payroll batches to calculate the Average EE Count. The new calculation calculates a separate average for each group (as total WSE paid on the pay group divided by the total payroll batches) and then adds each of the pay groups together.

 

Note: 

  • An updated Client Profitability Merge template is available. The Average EE Count calculation update is included with the ClientSpace Release R149 update and is not dependent on receiving the new template. The new template is available by request. Please contact your ClientSpace representative or log an extranet case to receive the updated template.

  • Each Pay Group must have a related Payroll Batch.

  • The following new fields have been added to the bottom of the Payroll_New tab of the updated Client Profitability Report merge (System Admin Outputs > Merges >Client Profitability) Excel template:

Enhanced More Search on Merge Dashboard

A Procedure field has been added to the More search on the Merge Admin Dashboard to allow searching for existing stored procedures. Additionally, a Stored Procedure column has been added to the Merge Admin Dashboard to display the stored procedure names in the search results.

Added BI Imports Report

A pre-configured Business Intelligence (BI) Imports report has been added. The Imports report allows you to generate a report displaying the first 200 rows of aggregated import metrics for multiple import processes. The report includes built-in filter options and contains following column data: Date Created, Date Updated, UF_File Name (Upload File Name), Import Status, Rows Inserted, Rows Updated, Rows Skipped, Rows Processed, and Row GUID.

Added Absorb Increase Contribution Method on Offered Benefits

A new employer contribution method, Absorb Increase, has been added to the Offered Benefits Plan. Absorb Increase is available as a contribution method when an Offered Benefits Plan is being renewed from a renewal Benefits Batch that has a Source Benefits Batch associated with it. When Absorb Increase is selected, ClientSpace calculates the contribution for a renewal by adding the premium increase for each coverage level to the employer dollar contribution amount from the previous year.

Updated the Benefit Renewal Workbook Merge Template File

The Benefit Renewal Workbook Template File (Benefit_Renewal_Workbook_2024.xlsm) has been updated to correct the numbering on the columns at the top of the RenewalPlans tab. Additionally a new merge field named Pharmacy Deductible has been added to the RenewalPlans tab in column AX and the Health Summary tab in column B, cell 27.

Updated the Benefits Batch and OBP "Renew" Business Rule to Clone Enrollment Counts

Previously, the Renew business rule cloned the Benefits Batch, the Offered Benefits Plans associated with the original batch in "Selected" Status and any new Offered Benefit Plans associated with the original batch. It did not clone enrollment counts from the Offered Benefit Plans. Now, the following enrollment counts in the "Coverage Count" fieldset of Offered Benefit Plans are cloned by the "Renew" business rule:

  • ESCount

  • ECCount

  • EFCount

  • EKCount

Added Business Rule Method (_IncrementIntegerFieldOnForm) to Increment an Integer Across Forms

With the _IncrementIntegerFieldOnForm business rule method (System Admin > AdvancedManage Rules), a triggered action on a form increments an integer field value on the same form (#ThisForm ), the gen_tablename of the triggering form, or a different single form.

 

Note: This rule can be configured on multiple forms to update the same form and field.

Added Ability to Add a New Lookup Group and Jump to an Existing Lookup Group from Dataform Field Admin

Previously, when you added a new field to a dataform (System Admin > AdvancedDataform Admin > Action CenterFields) with an Element Type of Lookup Type Ahead (core), Lookup (core), or Lookup Multiple (core), if you had not already added a lookup group to associate with the field or added the appropriate filter options, you had to navigate to the Lookups Group window (System Admin > LookupsManage Groups) separately to add the lookup group before you could associate the lookup group to the new field. Now, when you add a lookup field to a dataform, you now have options to:

  • Add a new lookup group on-the-fly and populate the Lookup Group field with the new lookup group.

  • Click the Jump to Related Form button (once the Lookup Group field is populated) to open a selected lookup group and make changes:

Enhanced Import File Cleanup and Manage Import Reset Status Link

The following enhancements have been made to import file management processes:

  • The Import File Cleanup process (System Admin > AdvancedScheduled Processes) has been enhanced to remove records which are in "Import Failed" status and more than 30 days old from the Manage Import dashboard (System Admin > Imports > Manage Import). Related log files are removed by the File Management Cleanup scheduled process.

  • Previously the Reset Status link on a Manage Import Details record (System Admin > Imports > Manage ImportOpen Import Status Record > Manage Import Details) could only be accessed by a developer user. Now, the link is available to Global Administrators. When Reset Status is clicked on a record, the record status changes to "Ready for Import" and any previous log files are removed.

Added Pre-Configured Employee Termination Letter Merge Record, Link, and Filter

This is a continuation of ClientSpace Release 148 Case# 69664 which added an Employee Termination Letter Word merge stored procedure named peo_merge_ee_termination to System Admin > OutputsMerges. The merge is designed for PEOs to send letters to their client's employees informing them that the PEO is canceling their agreement with them. Previously, you had to manually add the merge record referencing the new stored procedure and manually add a custom link to access the merge.

 

With ClientSpace Release 149, there is now a pre-configured merge record, a pre-configured custom link on the Workspace Landing page, and a filter page (which displays when you click the link).

Appended "OOO" to Out of Office User Names in CORE User Drop-Down Lists

"OOO" now displays next to the names of "Out of Office" users in all CORE user drop-down lists throughout ClientSpace.

 

Note: 

  • This functionality works with existing Department or Status flags such as "Expired". In the first example below, the user's department displays in braces followed by the "OOO" flag.

    In this next example, the user's "Expired" and "OOO" statuses display.

  • The "OOO" flag also displays on emails generated from ClientSpace Email Templates when a user Replace field is applied. We recognize that this may not be desired functionality. This is a known issue and will be addressed in an upcoming release.

Removed Close button and "X" from Landing Page for External Users

Previously, when external users clicked the Close button on the workspace landing page or the X next to the workspace landing page link in the Work Items pane, an empty ClientSpace frame displayed. Since external users work in a single workspace and currently do not require the ability to move between multiple workspaces, the Close and X buttons have been removed from the workspace landing page for external users to prevent accidental clicks. The Close and X buttons will continue to display on secondary forms accessed within the workspace.

The following fields have been added to the available replacement fields that you can use when configuring Case Discussion Email Templates:

Added PFML State Compliance Form

Added a dataform named PFML - State Compliance to store and track compliance with Paid Family and Medical Leave (PFML) regulations across various states. This form will track the work locations of active employees and be used to trigger an email notifying your client when the combined number of Active employees at their site and any related sites has reached a range where PFML contributions may be required.

 

Note: 

  • Development is not complete for the PFML state compliance tracking process. This project will be finished in the next release.

  • Initially, only Delaware PFML state compliance tracking will be supported. Support for additional states will be added in upcoming releases.

  • The PFML form is only created for standalone companies and parent companies. For parent companies, the employee count of the parent and child companies is aggregated and counts toward the Active employees.

All fields on the form are "read only" as they are either imported when the PFML - State Compliance scheduled process runs or determined by programming logic and set by the system when a certain condition is met. For instance, for Delaware, the Date 10-24 EE Reached and Reached Threshold 1 fields are set when the number of Active employees at a client site and any related sites reaches a combined total of 10 to 24 employees.

 

The following fields are present:

  • Current Date

  • Date 10-24 EE Reached

  • Date Client Reached 25+ Active Employees

Added PFML Email Templates

The following three (3) pre-configured email templates (System Admin > Email Templates) have been added to support the PFML state compliance tracking process. The email templates are triggered by data stored on the PFML - State Compliance dataform.

  • 10 to 24 Active Employees - The PFML 10 + Active EE template sends a notification to the Payroll Specialist on the PEO client team when a company and any related companies reaches a combined total of 10 to 24 Active employees. The email indicates that state FMLA contributions may be required starting the next payroll for the next 52 weeks.

  • 25+ Active Employees -The PFML 25+ Active EE template sends a notification to the Payroll Specialist on the PEO client team when a company and any related companies reaches a combined total of 25 or more Active employees. The email indicates that state FMLA contributions may be required starting the next payroll for the next 52 weeks.

  • 50 Week Reminder - The PFML Delaware (DE) 50 Week Reminder template sends a notification to the Payroll Specialist on the PEO client team when a company's Family Leave contributions have been occurring for 50 weeks. The email indicates that contributions may no longer be required in approximately 2 weeks.

Note: 

  • PFML email templates are published in this release, but development is not complete for the PFML state compliance tracking process. This project will be finished in the next release.

  • Initially, only Delaware PFML state compliance tracking will be supported. Support for additional states will be added in upcoming releases.

Added PFML Configuration Dataform

Added a Paid Family Medical Leave (PFML) configuration dataform named PFML - Config to the Admin Workspace to allow you to select the states to include in the PFML scheduled process.

Disabled Remove Button on Tabbed Forms Grid of Dataform Admin When No Tabbed Forms are Present

Previously, when there were no tabbed forms present in the Tabbed forms grid of Dataform Admin (Dataform Admin > Dataform Properties > Tabbed Forms) the Remove button was still Active and clicking it returned an error message. Now, the Remove button is disabled when there are no tabbed forms present in the grid.

Corrected PrismSyncOSHAClientTotals Scheduled Process to Handle Multi-Tenancy

Previously, the PrismSyncOSHAClientTotals scheduled process did not properly process OSHA data in multi-tenant environments. The scheduled process has now been revised to process OSHA data by ImportID instead of Client Number so that it will include the PEOID and work in multi-tenant environments.
