Using Mass Update from Benefits Batch OBPs Search

Sometimes you need to update Offered Benefits Plan records with the same changes. Instead of opening each OBP record and making the changes, you can use the Benefits Batch OBPs search dashboard Mass Update function. The Mass Update function allows you to select multiple records and update them all at the same time.

To use Mass Update from the Benefits Batch OBPs Search:

  1. From the modules bar, click Workspaces.
    The Workspace Search dashboard opens.
  2. Select the desired workspace and click (Open).
    The Workspace page opens.
  3. Scroll down the page to the administrative tiles where you see the dataform categories.

  1. Enter "Benefits Batch" in the search for dataform field and then click the Benefits Batch tile.

  2. Click (Open) next to the desired Benefits Batch.

  3. In the Action Center, under Links, click Associated OBPs.

  4. Use filtering and searching to find the records you want to change.

  5. Select the records you want to change by clicking the Select checkbox at the end of the row.

  6. Click Mass Update.

    The OBP Mass Update form opens.

  7. Change the fields you want to update.

    Field Description
    Status

    Choose an applicable status to apply to the selected OBPs.

    • New is typically assigned to new, manually created OBPs.

    • Selected selects an offered plan for export to PrismHR.

    • Rejected excludes the plan from being exported to PrismHR.

    • Pending Activation indicates that OBPs are approved and ready to be activated.

    • Expired is used to expire old OBPs associated with an expired batch.

    • Cancel inactivates OBPs.

    Rate Group Title

    Enter a Rate Group Title to apply to the selected OBPs.

    Note: If the OBP was imported from PrismHR, ensure that the Rate Group Titles match between ClientSpace and PrismHR.

    Contribution Method

    If you select a Contribution Method, additional data entry fields may display. In the example below, "Match EO Contribution" was selected as the Contribution Method and the EO% field displayed. The additional data entry fields vary according to your selection.

    Update Risk Factor/Risk Factor

    If this plans use a premium risk factor select Update Risk Factor and enter in the Risk Factor field. The Risk Factor field value is multiplied by the premium amounts entered on either the associated Rate Group or Benefit Plan record and then divided by 100. The resulting calculations are set in the EE Premium, ES Premium, EC Premium, EK Premium, and EF Premium fields in the "Total Client Premium" section of the Offered Benefits Plan dataform. The Set Client Premium From Risk Factor rule is triggered to set these fields when the Risk Factor field value is added or updated (i.e., is dirty).

     

    Note: In order to apply a Risk Factor field to OBPs with an associated Rate Group record, the Rate Source field on the Rate Group record must be set to Manual. If this requirement is not met for any of the selected OBPs, the update will fail only on the OBPs where the requirement is not met. The following error message displays for failed plans: "Mass update failed because Rate Group source is percentage."

  8. Click Update.

    The update status displays on the OBP Mass Update window. When the update process is complete, a "Done" message displays at the bottom of the window.

     

    A green check mark displays next to the successfully updated Offered Benefit Plans:

    A red exclamation point and error message display for any Offered Benefit Plans that are not updated.

  9. Click Close on the OBP Mass Update window.
